Your Reunion Planning Team is Pleased to Welcome You to Our 55th Reunion 

During the past three years we have worked hard to make this the best reunion ever. We hope that we have succeeded.  Here are some of the key features of the reunion: 

·     Reunion Plan Based on Your Preferences

o    We surveyed all classmates and widows to get your input for planning the reunion.

o    From these surveys, we determined where you wanted to go for the reunion and when you wanted to go there.  We learned what you liked about past reunions, what you did not like, and what you would like to see for the 55th.

·     An Outstanding Hotel for Our Preferences

o    We looked at 17 or so potential locations, down-selected to five hotels that met our initial selection criteria, gained more insight allowing two of the five to be eliminated, obtained updated proposals from the three finalists, and picked the hotel that offered the best overall value to the Class.

o    The Park Ridge Marriott was the clear winner with several very valuable concessions and significant cost benefits.

·     More Time to Relax, Socialize, and Tour

o    You felt that past reunions’ agendas were too full and you had to rush from one event to the next – you wanted more time to relax and socialize.

o    For the 55th we have a five-night/four-day event base period with options for extending before or after the base period, multiplying the free time available many-fold when compared to past reunions.

·     Private Places to Meet, Relax, and Enjoy Old Friends

o    For the 55th, we have four comfortably furnished hospitality rooms that we stock with food and beverages. 

o    All you can eat and drink available 24 hours a day included in your social package.

·     A Flexible Itinerary

o    Numerous options for day trips, tours, or visits – none mandatory - every event is optional.

o    A lot of free time for you to pick and choose what you want to do.

o    Buses are optional, load and leave when full rather than wait to convoy, with staggered departure times based on different groups’ needs.  POVs are transportation options for all events. 

·     Lower Costs

§     We have many cost saving initiatives; including, tax-free room price $10 lower than room for the 50th, free breakfast buffet, free WiFi, hospitality rooms we stock with snacks and beverages, Class supplied wines at dinner with no corkage fees, 15% cost discount from posted hotel catered dinner prices, buses optional – pay only if you request a bus, classmates for photography rather than professional photographer, electronic Welcome Packets rather than hard copy, memorabilia by request only, and free hotel shuttle available all days for use within 3 miles of the hotel.

§     The cumulative cost savings for the Class as a whole is about $100,000 when compared to the prices for the 50th reunion.

·     A Memorial Room to Remember Our Deceased Classmates

o    This is a dedicated room at the hotel with a one page tribute for each of our deceased classmates on the walls of the room. 

o    It is a quiet room, separate from the hospitality room, in which folks can walk the walls and think about and remember guys they knew. 

o    Additional items will be in the room, such as the Howitzers, Registers, 50th Yearbook, cadet uniforms, tar buckets, etc.

The Welcome Packet contains all the information about the reunion we hope is needed for you to understand all the plans and events available while you are at the reunion.  Detailed information to assist you at the reunion is contained in the Introduction Brochure and in the attached documents.  Take the time to read through the documents that are pertinent to your particular agenda – everyone is different.  There will be a concierge desk in the Main Hospitality room staffed with volunteers that can assist you if you have any questions.

Attire.  What is the Dress code?

·     Dress code is “appropriate casual” for all events – no ties required.  Shirt and shoes required for all.  Comfortable walking shoes. Suggestions are:

o    Tours – appropriate casual with comfortable walking shoes.

o    Most Dinners – slacks and open collar shirt – black tie optional

o    Friday Dinner is the Aloha and Welcome dinner.  Hawaiian shirt welcome.

o    Monday West Point events – dress slacks and open collar shirt

o    Tuesday West Point events – blue blazer, white shirt, gray trou, ‘61 hat.

o    Tuesday dinner – our closing dinner - sport coat, collared shirt.

o    Suggest ’61 golf hat from past reunion or purchase one while at 55th.

Concierge – Is there a Class concierge?

·     Class volunteers will staff the concierge table in the Main Hospitality Room.

·     They can provide assistance and answer questions.

·     Check in with the Concierge when you arrive at the hotel.

Dancing – Will there be dancing at any of the dinners?

·     Yes.

Hotel Reservation – How do I pay for my hotel room?

·       You will make payment for your room by check to the Class.

·       Room costs are included in the Reunion Invoice you will be provided prior to arrival.  A copy will be available at the Concierge desk in the Main Hospitality Room

·       Full payment for your room is due upon arrival at the hotel and can be made when you sign-in with the Class in the Main Hospitality Room.

·       Payments must be made by check made payable to the USMA Class of 1961.  Payment cannot be made by credit card.

·       The Class will pay for your room out of the Class master account direct to the hotel. 

·       Room payments from the master account are sales tax exempt.

·       You will be responsible when you check out for any incidental costs at the hotel that are charged to your room.

Hotel Reservation – How do I cancel my hotel reservation?

·     To cancel your hotel reservation (and your reunion registration) you must notify the Reunion committee at 61reunion@cfl.rr.com as soon as possible after you decide to cancel.

·     You should not and must not contact the hotel direct or the Marriott central reservations office to cancel your hotel reservation, except for the following circumstance.

·     If you have to cancel within one week of your scheduled arrival time, you should notify the Reunion committee and call the Marriott hotel direct at 201-307-0800 and cancel your reservation.

·     This ensures that the hotel finds out about the cancellation as soon as possible.

West Point.  What is required to get on post?

·       If you have person with military ID in the car

        Vehicles with DoD stickers may use all gates: Thayer, Stony Lonesome, and Washington

        Vehicles without DoD sticker may use Thayer or Stony Lonesome Gates

·       Without Military ID – use Thayer or Stony Lonesome Gates

·       All passengers over the age of 16 must have photo IDs.

·       NOTE – Recent DoD rules have disallowed certain states drivers licenses as valid ID’s.

        Effective Jan. 10, 2016, people using a driver's license from the states of Illinois, Minnesota, Missouri, New Mexico or Washington will have to use another form of identification in order to enter West Point and all other military installations. Enhanced driver's licenses from these states are acceptable. If you possess a valid Department of Defense issued identification card this new requirement does not affect your ability to enter military installations.

        Acceptable alternate forms of identification are a U.S. passport, a permanent resident card/Alien Registration Receipt (form 1-551), a foreign passport with a temporary I-551 stamp or visa or an employment authorization document that contains a photograph (Form I-766).

·       Random vehicle inspections are conducted.

·       A member of AOG can get a vehicle pass on line, which might help somewhat when entering post..

o   This is a Current Registration Report – there are two tabs.  Check to make sure you are on the correct list. This is an excel spreadsheet that shows your entries in the registration survey.

o   You should go through your entries carefully and make sure they reflect your current preferences.

§    This is a copy of the current Reunion Master Plan – this will be updated with more details shortly, but is close enough for you to use to make your review.

o   The Registration Report will be used to set up all the events, so it needs to be accurate.

o   It will also be used to calculate your costs.

§    Remember, everything at this reunion is a la carte.

§    You pay for only the things you want – so everyone’s bill will depend upon what they signed up for.

§    Based on the Registration Report, each of you will receive a bill in a few weeks for your part of master account charges; including, guest room, hospitality rooms, hotel dinners, admin costs, bus transportation (if you signed up for bus transportation), and group events you selected.  You will pay your bill by check only to a Class Finance Rep in the main hospitality room.

Ok, It Is Now Time For You To Double Check Your Registrations And Respond If Changes

§    You could use this to make your own itinerary for the reunion based on your survey inputs.

o   You were advised a few days ago to take the following actions:

§    Book your tour at Kykuit using the link provided.

§    Send back your tour time and confirm that you want to join the group for lunch at the Kittle House to 61reunion@cfl.rr.com as soon as possible.

§     If you do not have a car, check the list for those with cars and coordinate your transportation.

5.    If you signed up for the Saturday Hyde Park featured activity, review your plans for that event.

o   Travel may be by either bus or POV/car pool, so you should double check that your choice of travel mode is still current.  Remember, you do not need to have a car to car pool, there are many with cars.

o   If you chose POV/car pool and do not have a car you should coordinate with someone on the list that has a car for car pooling.

6.     If you signed up for the Sunday New York City featured activity, review your plans for that event.

o   Attached is the New York City List extracted from the Master Registration Report.

o   Travel for this event is by bus.

§    All will depart from the hotel at the same time for drop off at the 9/11 Memorial.

§    Pickup will be at a spot near Times Square .

·    You have a choice of 1630 pickup or 2100 pickup.

·    You should double check your return time to be sure your registration is correct.

o   IMPORTANT INFO FOR THOSE TOURING THE 9/11 MEMORIAL

§    There are two primary attractions – the Memorial and the Memorial Museum

·    The Memorial, occupying eight of the 16 acres at the World Trade Center , is a tribute to the past and a place of hope for the future.  It is open to the public and free of charge.

·    Entry to the Museum is by ticket only.

o   Retired military with ID – Free

o   Senior with ID - $16.00

§    For all those that signed up this event, we have general admission tickets reserved for the Museum - self guided tour (audio guides can be rented and are recommended).

§    Guided tours of the Museum (60 minutes) are also offered for $20.00 add-on (same for all).

·    NOTE –If you want the guided tour add-on you must send a request to 61reunion@cfl.rr.com

·    First come – first served.

7.    West Point Boat Cruises

o   Attached is the West Point River Cruise list extracted from the Master Registration Report.

§    We have river cruises out of West Point south dock on Saturday, Sunday, and Monday.

§    This list includes only those that signed up for one of these events.

o   You can choose the river cruise only or river cruise with tour of Constitution Island .

§    You should check to see that you have signed up for the option that you want.

o   Travel on Saturday and Sunday will be by POV/car pool.

§    If you do not have a car you should coordinate with someone on the list that has a car for car pooling.

o   Travel on Monday will be by bus.

Assignments for 55th Reunion Volunteers Review and Signup Confirmation Wanted

If you had the poor judgment to volunteer to help at the reunion it is time for you to confirm your assignment.

Please review this excel file with two spreadsheets.

1.     By Name List

o This list is organized by name

o This is an extract from the registration that shows the functions you indicated you would be willing to help with.

o Indicated on this sheet are preliminary team assignments for you to consider.

§  Yes entries are the functions you volunteered to support

§  Green hilites are potential team leads (I think each only lead for one team)

o Most of you are on more than one team, but I think the workload will be fairly light with the number of volunteers that we have.

So here is what you need to do:

After they get your inputs they will do a final organization. 

Each team will receive detailed conops and info to support planning.

 

Kykuit Tour and Crabtree’s Kittle House Lunch Update and Reservations Information

This information is for those who indicated in their reunion registration survey that you were interested in a visit to Kykuit and lunch at the Crabtree’s Kittle House restaurant (http://www.kittlehouse.com/). Those that expressed an interest are shown in the table below.  8 indicated a preference for Thursday and 31 indicated a preference on Friday. 

There are not enough on either day to fill a bus, so travel will be by car.  Those that do not have car can pair up with those that do, which are shown in the list.

There are not enough to warrant group reservations on Thursday.  Therefore we will leave any plans and reservations on that day up to those that want to make the visit that day.

For Friday, the suggested plan is the Kykuit tour in the morning followed by lunch at the Kittle House. 

There are no cost advantages to doing a group reservation at Kykuit.  Therefore, you need to book your own tour online using the following link.  There are several tour options, so look them over before making your selection.     https://www.hudsonvalley.org/historic-sites/kykuit/tours

We will make a group reservation for lunch for a single group or in parties of 8 or 10 depending on menu options and prices.

Class Executive Committee Nominations Announced For Reunion Business Meeting

In accordance with Article IV of our class constitution, we have been appointed to select nominees for each position of our Executive Committee.  The nominating committee consists of the following class members: D. Peter Gleichenhaus, Chairman; Dr. James C. Connolly, II; Dr. Francis Joseph Fishburne, Jr.; Harold Hampton Hodges; Robert H. Kewley.

We have received input from a host of classmates.  Having considered that counsel, we nominate the following individuals for the positions indicated:

  Secretary:  Edward A. Brown, III

Another Reminder and It Is Important You Respond To Submit New Survey

There are four important references attached that will indicate the action you need to take: 

1.    Hotel Reservation List

o This list shows all the current room reservations.

o  Everyone that submitted a survey and indicated a “Yes” or “Maybe” for attending the reunion has a room reservation.

o  All of you should check the list and see if the reservation is correct for your current plans.

o  If any changes or cancellations need to be made, send them to 61reunion@cfl.rr.com

2.    New Surveys Submitted List

o  This is the list of those that have submitted the new survey.

o  If your name is on this list, you completed the new survey and your new registration is on file.

o  You do not need to do another survey.

o  This list also shows those that have submitted their deposit.

o  If you have not submitted your deposit you should do so now.

3.     Must Submit New Survey List

o  This is the list of those that indicated a “Yes” or “Maybe” for attending the reunion in the initial survey, BUT HAVE NOT SUBMITTED A NEW SURVEY.

o  If your name is on this list you MUST SUBMIT A NEW SURVEY!!

o  If you no longer plan to attend, enter that in the survey and your room reservation will be cancelled.

o  If you plan to attend, this survey will collect the latest info for all the options available.

o  A summary of the changes since the initial survey is provided below.

o  This list also shows those that have submitted their deposit.

4.    Not Planning to Attend List

o This is the list of those that indicated they were not going to attend the reunion in the initial survey or by later change.

o  If your name is on this list there is nothing for you to do.

o  If things have changed and you think you might be able to attend, you should do the new survey so that we get a room reserved for you.  You can cancel the room up to 24 hours ahead.

o  If you have submitted your deposit, it has or will be returned.

Here is a summary of the main items that have changed and been added to the survey. 

·   Early Bird Activities

  There are a larger number of folks arriving early than we had imagined, e.g., 25 or so by Tuesday, 55-60 by Wednesday, 180 or so by Thursday, and 300+ by Friday.

  In response to this we have added new options for these days to the Master Plan, such as group dinners and visits to local attractions.

·   Transportation from Arrival Airport

  Several have asked about transportation from their arrival airport to the hotel.

  To assist with this, we have added the option for ridesharing from the airport.

  If you are interested, you can indicate this in the survey and we will try to pair folks up.

·   Transportation to Events

  You have the options to travel by POV/Carpool or bus to all events.

  In some cases we think travel by POV/Carpool is best and for others we think travel by bus is best.  We tell you this in the survey. The choice is yours.

  We will assist in pairing riders up with drivers for the events, so you do not have to have a car available to sign up for car pooling.

·   Rollaway Bed

  Several have indicated they plan three in a room – this allowed by the hotel.

  We added option for requesting a rollaway bed.

·   Roomshare

  There are several widows coming and some have expressed an interest in sharing a room.

  We added this as an option and we will connect those that have an interest in sharing a room.

  There is an option for the single guys to also share a room.  In spite of what these guys may request, we are not pairing one of them with a widow.

·   The Culinary Institute of America (CIA)

  CIA offers several options on weekdays, see the Attractions Info Sheet for more details. 

  In our original survey we offered only options for these on Friday.

  Many of you expressed an interest in one or more of these options.

  We are now offering three of these events for both Thursday and Friday.

·   Kykuit – Rockefeller Estate Tour & Lunch

  A large number of people are interested in the Kykuit tour and Lunch combo.

  Therefore we are offering this group option on both Thursday and Friday.

·   Church Services

  We have added church service options at the hotel

  Catholic Masses on Saturday afternoon and Sunday morning.

  A non-denominational Protestant service Sunday morning.

·   USMA Band Concert

  One of the events we had not included in the original survey was the USMA band concert in Ike Hall on Sunday from 1400-1500. 

  This could fit with the Sunday West Point boat cruise or individual tours at West Point if you wanted to tie these options together.

·   Boat Cruise and Visit to Constitution Island

  In the original survey we offered option for boat cruise on Monday with added option for Constitution Island visit.

  Many more of you are interested in these options than can be handled in one event.

  Therefore we are adding these options for Saturday and Sunday in addition to Monday.

  Cruise times will be scheduled so that band concert on Sunday and alumni activities on Monday can also be selected.

·   Prep School Tour

  Many of you expressed an interest in touring the new prep school. 

  We have scheduled this for Monday from 1100 to 1200. 

  This can be followed by lunch at Ike Hall and the afternoon reunion functions there.

·   Memorial Service

 Memorial Service as been moved to Tuesday at 1400 following lunch in Washington Hall.

·   Other Popular Attractions

  Boscobel House and the Brotherhood Winery were two other potential group activities mentioned by respondents.

  We are offering these on Thursday, Friday, Saturday or Sunday.

  If there is enough interest on any of these days we will schedule group tours.

b.     REMINDER.  Anyone attending must be registered, including kids, grandkids, friends, neighbors, consultants, lobbyists, body guards, speech writers, medical staff, teleprompter experts, hangers-on, etc. 

   i.  Therefore, if you have more than one guest coming, you or your guests will have to complete additional surveys to cover these added guests.

  ii.  If you have quite a few family members, you can streamline this as explained in the survey instructions.

c.     Here are a few tips:

   i.  Take your time, there are a lot of choices.

  ii.  There are a lot of options, so read the entries carefully.

  iii.  Refer back to the reference material, particularly the Master Plan, as you complete the survey or if you have any doubts about an item.

      iv.  CAUTION - Many of the activities overlap on the same day.  So be sure to check the times for the things you select to make sure they are not mutually exclusive.

Here is summary of where we are:

·     Wednesday, Thursday, and Monday options

o   Not enough interest to get a group reservation (20+ people).

o  We have enough interest in this option and have a made a group reservation.

Everyone Who RSVP’d to 55th Reunion Survey – Immediate Action Required

Anyone that is planning to come to the reunion, thinking about coming to the reunion, or previously said you might come to the reunion MUST submit a new Registration Survey, NOW!!!!!! 

I know! I know! Many of you will whine that you have already done a Registration Survey. True. But, based on the initial survey and other inputs, event plans have been modified, new events have been added, and plans have been changed.  Therefore, it is imperative that we have your latest preferences so that we can do detailed planning for the many activities on the menu.

The Park Ridge Marriott in Park Ridge , NJ clearly separated itself from the other two hotels in its overall responses to our Class interests, positive answers to our many requests, and significant cost benefits offered to the Class.   We selected this hotel for the reunion.

55th Reunion Planning Survey #4 Results Indicating Who Plan to Attend 

255 have responded to the latest survey request.  155 indicated YES -Probably; 39 indicated Maybe; and 21indicated NO - definitly not.  The total number of probable attending is 465.
